Purpose Of Position

Reporting to Director of Lease Administration, successful candidate ensures integrity of data maintained in commercial management system. Review and approve lease administration profiles, monthly rent up, and CAM reconciliation billings. Work on assignments of moderate to complex scope where analysis of situation or data requires review on identifiable factors. Exercise judgment within defined procedures and practices to determine appropriate action.

Job Duties/Responsibilities

  • Ensure data integrity of information contained in database application used for tracking all tenant and lease related data.
  • Review leases and set up of new lease records and buildings in accounting system.
  • Record and monitor all Base Rents, CAM charges, Real Estate Tax estimates, Insurance estimates, Utility charges, CPI Rent and Percentage Rent charges for commercial tenants.
  • Update lease data (billing email, contact, recurring charge, etc.).
  • Track and maintain co-tenancy and exclusive clauses.
  • Maintain quarterly building square foot reconciliation.
  • Create commencement memorandums as needed.
  • Create estoppels as needed.
  • Record, monitor and track gross sales. Follow up with tenants on monthly gross sales reports.
  • Ensure monthly rental updates are reviewed, updated and approved.
  • Update and maintain log of all lease activity.
  • Create summary of monthly leasing activity.
  • Track and follow-up on move-in and move-out dates.
  • Set-up leases in MRI Recovery module.
  • Calculate and analyze operating expenses and real estate tax reconciliations.
  • Calculate annual CAM, property tax and insurance recovery, quarterly CAM accruals, and annual estimates.
  • Assist with collection and consolidation of CAM supporting documentation.
  • Provide CAM numbers for leasing.
  • Coordinate tenant audits of billed CAM reconciliations.
  • Interact with Tenants, Property Managers, and Asset Managers on lease administration and A/R issues.
  • Coordinate late letter and send to Property Managers for review, approval and distribution.
  • Review others work to ensure they are in compliance with department standard operating procedures and process narratives.
  • Assist with ad hoc acquisition and disposition requests.
  • Assist in additional department related functions as requested.
  • Assist with implementation of additional MRI modules.
  • Other duties and projects as assigned.

Job Experience Qualifications

  • Minimum 5 years lease administration/accounting experience.
  • Bachelor's Degree in accounting, business, or a related field.
  • Experience with MRI or similar accounting systems required.
  • Commercial Real Estate experience preferred but not required.
  • REIT/Fund accounting experience preferred but not required.
  • Intermediate to advanced computer skills, including proficiency with MS Office Suite, Teams, and video conferencing tools (e.g. Zoom). Intermediate to advanced capabilities in Excel is essential.

Reporting Structure

Position reports directly to the Director of Lease Administration.

Vital Goals/Performance Measurements

  • Timely and accurate set-up of tenant leases and gross sales reporting.
  • Timely and accurate revenue reporting.
  • Timely and accurately reconciliation of tenant ledgers.
  • Proactively review tenant aging report for accuracy and proactively address any errors or inconsistencies.
  • Ensure safe keeping of documents using electronic filing for ease of access.

Additional Details

  • Location: Desired location is in San Diego County, though candidates in the greater Los Angeles, CA and Phoenix, AZ areas are also encouraged to apply.
  • Work Environment: the company is currently working primarily remote, however is planning to have people back in the office in some capacity as pandemic restrictions ease. The company is evaluating flexible work arrangements long-term, though candidates should expect to spend some portion of their work time in the office.
