Position Title:                                    Project Support Specialist/Administrative Assistant

Minimum Salary:                             $55,000 - $75,000 based on experience

Work Hours:                                      M-F; 40 hours per week. Full time position.

Location:                                             Boston, MA or remote

The Technical Assistance Collaborative (TAC) is a national organization that drives policy and systems solutions for the human services, health care, homelessness, and affordable housing challenges facing our country. Position Description:

TAC is seeking a mission-oriented, Project Support Specialist/Administrative Assistant to provide project and administrative support to TAC leadership staff and our team of nationally recognized consultants. Responsibilities will include a range of support functions for agency Directors and consultants, including but not limited to technical support for TAC webinars, scheduling and coordinating logistics for small and large meetings and conferences, typing summary reports and meeting minutes, assisting in the preparation of funding proposals and project reports, and editing. Periodic travel is required and is generally less than one trip per month.     

Responsibilities

  • Perform general administrative duties such as scheduling meetings and appointments, documenting business and travel expenses, answering phones, managing email, photocopying, receiving guests, etc., as required by the Executive and Managing Directors
  • Provide logistical support for Board meetings, including scheduling and coordination of final materials for Board members and recording of meeting minutes
  • Miscellaneous project support for human services and housing consulting projects, including project management, literature review and background research
  • Plan and manage logistics for office-based and off-site meetings (materials, RSVPs, collateral, catering, lodging, travel, etc.)
  • Provide support and help organize national meetings hosted by TAC, ranging from small groups to 100+ person meetings
  • Provide technical support for web-based meetings and trainings facilitated by consultants.  
  • Prepare and edit correspondence, business proposals, reports, presentations, and surveys
  • Assist consulting team with proposal development 
  • Periodic travel to support project meetings

Skills and Key Competencies

  • Experience providing project-based and administrative support to management
  • Professional, highly organized, and attentive to detail
  • Positive team player willing to jump in and handle multiple tasks
  • Strong writing skills, including proofreading and editing
  • Proficient in Microsoft Office Suite (i.e., Microsoft Excel, PowerPoint)
  • Knowledgeable of webinar platforms such as Zoom
  • Strong interpersonal, problem-solving and communication skills
  • Demonstrated writing skills and an ability to balance competing timelines
  • Sensitivity to the issues and challenges confronting people with disabilities and people experiencing homelessness
  • Ethical and culturally competent
  • Ability to ensure confidentiality of sensitive information

 

Qualifications

  • Prior work experience in project and/or administrative support role
  • Bachelor’s degree in business, housing, social work or related field preferred. Additional work or lived experience may substitute for Bachelor’s and work experience.
  • Detail oriented
  • Proficiency in Microsoft Office
  • Proficiency with Zoom functions and administration
  • Demonstrated ability to learn new online systems and platforms
