ABOUT THE ROLE

The Executive Assistant plays an integral role in the success of business initiatives by providing high-level administrative support for HPN’s C-level Executive Team and other senior executives as needed. The Executive Assistant will have the ability to interact effectively, courteously, and professionally with staff at all levels and with important external constituents. The Executive Assistant will show great discretion and sophistication in managing the complex demands of the executive team as well as requests by others of the executive team’s schedule.

 

The ideal individual will have strong attention to detail; strong written and verbal communication skills; flexibility and problem-solving skills; ability to work independently and to proactively anticipate needs; ability to manage multiple tasks, many with shifting priorities; ability to handle confidential information and material with discretion and diplomacy; and ability to work well under pressure and under deadline. The position requires a demonstration of sound judgment.

 

MAJOR DUTIES AND RESPONSIBILITIES

  • Provide expert administrative support for HPN’s Executive Team (currently five members)
  • Manage the scheduling/coordination of meetings for HPN’s E Team, proactively managing conflicts and resolving complex scheduling challenges in a rapidly changing culture
  • Ensure E Team members are prepared for their day by collecting or preparing information for discussion about upcoming meetings on their calendar
  • Capture and prioritize key decisions or action items that E Team members attend to on a daily basis, such as documents to sign or important emails to return, and ensure nothing is missed
  • Handle and administer corporate/confidential documents
  • Prepare professional business communication documents including emails on behalf of the E Team as needed
  • Prepare or polish a variety of executive level presentation materials with an eye towards detail and professional presentation
  • Assist in creating internal and external reports, documents, and presentations as requested
  • Coordinate meetings and prepare meeting agendas; attend meetings as requested, prepare and distribute detailed notes and ensure follow-up on agreed actions and measures
  • Coordinate frequent domestic and occasional international travel arrangements, including air/ground transportation and accommodations.
  • Coordinate and schedule logistics for meetings and conferences (with internal & external clients), including reserving rooms, catering, developing/revising presentations and/or confirming attendees.
  • Assist in the completion of expense reports and time reporting
  • Work closely with Fundraising, Communications, and HR staff to support the activities of the executive team.
  • Maintain a high degree of professionalism, initiative, and independence on a wide variety of complex and strategic issues
  • Other duties as assigned.

 

QUALIFICATIONS

  • College Degree or related professional training
  • Minimum of 5 years’ experience of assisting CEO/executive level personnel
  • Excellent organizational skills and the ability to effectively plan and prioritize
  • Ability to work independently and to identify and resolve problems with minimal supervision in a fast paced environment
  • Ability to manage multiple projects simultaneously, with proficiency, accuracy and sensitivity to deadlines
  • Excellent written and verbal communication skills,
  • Proficiency with Microsoft Office Suite and on-line systems
  • Excellent customer service, time and task management skills
  • Detailed oriented with the ability to multi-task and be reliable
  • Ability to work under tight deadlines and to accommodate last-minute changes
  • Discreet concerning matters of a sensitive and/or confidential nature
  • Ability to display a courteous and professional demeanor at all times and show initiative
  • Team oriented, with high energy and enthusiasm
  • Diplomatic, tactful, and ability to work well with all levels of internal and external contacts

 

OTHER

  • Position is based in Boston, MA
  • Some travel may be required
  • New employees need to be either (1) fully vaccinated for COVID-19 or (2) granted an exemption prior to beginning work at HPN
