Job Description

Peabody Properties, Inc. is seeking a Senior Level Administrative Assistant experienced in handling various administrative tasks and providing support to the Vice Presidents of Operations and Vice President of Affordable Housing at its Corporate Office in Braintree.  The Senior Level Administrative Assistant is responsible for providing administrative support, acting as a liaison between staff, clients, residents and vendors and maintaining the flow of administrative tasks while ensuring productivity in the department.

Responsibilities:

  • Monitor and update property site binders for company with a tracking spreadsheet showing most recent documents for reference purposes
  • Manage heavy revision and updates on weekly basis using Microsoft Office
  • Handle scheduling of all meetings on and off site and conference calls when needed
  • Create spreadsheets to track property inspections, vacancy claims and monitor Excel spreadsheets on daily basis
  • Collect and distribute multiple weekly reports on Marketing Traffic and other important information
  • Draft and edit memos and letters
  • Handles residents or vendor calls to ensure proper action is taken to resolve any issues and conducts follow up
  • Organize and tend to all incoming mail and faxes along with submissions for new business proposals

Requirements of the Position:

  • Excellent Customer Service and Professionalism and solid telephone skills
  • Good organizational and attention to detail skills
  • Ability to communicate effectively, both verbally and in writing
  • Ability to take initiative and be self-motivated
  • Ability to multi task  

Education and Experience:

AS or BS/BA strongly preferred &/or equivalent  professional services experience with a minimum of 5 years of administrative support in a processional company.  Also, proficiency with Microsoft Word, PowerPoint, and Excel.
